#887 - Best way to use Sugarchimp

Closed General Question created by vincenzotuccari 6 years ago

What is the best way to use sugarchimp?

One target list with all leads, contact and target automatically synced with one mailchimp list?

For me it's not so clear what is the best way to use it.

I tried to sync a target list with filter by province (457 leads) but in step 3 i selected this option: Sync All Leads automatically to the MailChimp List.

And the target list grow to 5.988, and now in health status i've 4932 pending Target/Leads/Contact and the scheduler running in loop, without synchronizing anything.

Could you help me ?

    Hello Vincent,

I'm happy to help you dig into the best practices for the integration. Typically syncing everybody to one master list is a great option, as it keeps your data as clean as possible. However, there are times that creating filters for separate lists might be more useful depending on your needs. I think the starting point is to understand your different syncing options:

    1. 'Sync All' option - This option will automatically add ALL of your module records to the list for you. This is great if you have new records coming in to Suite and do not want to have to add them manually to the list. If you choose to sync all records to one list, then you will need to be able to segment this list within MailChimp. So, you will need to use the Field Mapping tool to sync fields that are important, such as Province, across to MailChimp.

    2. 'Sync with Filters or SQL' option - If you have more complex segmenting needs, then you may need to use filters or the SQL option in SuiteCRM to setup your lists. You can specify exactly who you want to keep on a list (Leads in a certain province), and the integration will constantly keep this list up to date. As new records come in that match your filters, they will be added to the list for you. You can sync multiple target lists across to MailChimp Lists, each with their own set of filters. In that case, you do not need to segment in MailChimp.

In your situation above, you chose the 'Sync All' option for Leads, which then automatically added your entire Lead database to the list. If you did not wish to do that, you can use the 'filter' option and setup the province filter there.

Let me know if that helps to clear up the issues.

    Thanks! Jon

Perfect, i've another question, i need to use the integration for advanced segmentation, for example i wanna be able to send an email to all the contact that received an offer 15 days ago (this is a dynamic segmentation that try to motivate them with a discount)

What is the best way to do that?

    a) by "Syng all option", but the question is, i could sync infos like offer date, total amount of the offer etc etc b) by creating "target list" in suitecrm for every need, but the question are:

in i see that with professional edition i could sync basic fields, with ultimate edition i could syng

    Hello Vincenzo,

This solution is going to depend on how you are 'sending an offer' to the customer. Probably the easiest solution would be to add someone to an 'Offer list' in MailChimp. Then, have an automated Campaign in MailChimp that is setup to send 15 days after someone is added to this list. It seems like there is minimal effort to get this email sent out, as long as you can add them into MailChimp once they receive an offer.

You could certainly use a date field sync for 'offer received date', if you go with the a) option. You setup a similar MailChimp Automated Campaign based on the 'offer received date' field. Let MailChimp do all the work for you.

Let me know if that works for you.

    Thanks, Jon

    Hello Vincenzo,

It is not recommended to create a list for each Campaign, that would definitely not scale well. If we sync a date field for 'offer received' from Sugar to MailChimp, then we can have one Master MailChimp List that keeps all your marketable Leads/Contacts and automatically sends them those offer emails.

Perhaps we could get on a screenshare to give some insight into the workflow I am suggesting? If you'd like to do that, you can schedule a call for us here: https://calendly.com/fanaticallabs/sugarchimp-informational

Let me know if you have any questions from there, or something we cannot answer on a call.

    Thanks, Jon

    Hello again,

I wanted to update this case and close it out. You were wanting to dynamically add/remove records from the MailChimp List which should have been possible with the Ultimate plan, or at least with passing data over to MailChimp from SuiteCRM.

Let me know if I can help with anything else as you explore your options for the best Marketing Automation strategy to fit your needs.

    Kind Regards, Jon
